Analysing a sales spreadsheet with AI starts with a business question and data you understand. You might compare net sales by category or investigate refunds. Define the columns and calculations first, then ask the assistant to explain findings that you can verify with the original records and spreadsheet formulas.
AI can help organise those questions and explain patterns in the information you provide. The quality of the analysis still depends on clear data definitions and verified calculations. Start with a small table that you understand before asking the assistant to examine a larger report.
Step 1 – Decide what you want to learn
Choose a question that the data can answer. “Which category produced the highest net sales in this period?” is a reasonable starting point if the table contains sales, discounts and refunds. “Which category is most profitable?” also requires cost information.
Write the question above your working copy. Define the reporting period and currency. If the file mixes deposits, completed sales and unpaid invoices, decide how each should be treated before comparing totals.
Step 2 – Prepare a clean working copy
Preserve the original file. In the copy, give each column a clear heading, use consistent date formats and check that numbers are stored as numbers. Remove duplicate records only after confirming that they are genuine duplicates.
Remove personal details the analysis does not need. You can often analyse sales by category without sharing customer names, phone numbers or payment details. Use an AI service and account suitable for the business information involved.
Step 3 – Define the calculations
For this simplified example, net sales means gross sales minus discounts and refunds. The table uses invented figures and excludes costs and tax accounting questions so we can focus on the calculation.
| Category | Gross sales | Discounts | Refunds | Net sales |
| Training | ₦120,000 | ₦10,000 | ₦10,000 | ₦100,000 |
| Design | ₦90,000 | ₦0 | ₦0 | ₦90,000 |
| Printing | ₦70,000 | ₦5,000 | ₦0 | ₦65,000 |
| Total | ₦280,000 | ₦15,000 | ₦10,000 | ₦255,000 |
If these five columns occupy A to E and the first category is in row 2, the net-sales formula in E2 is =B2-C2-D2. Copy it through the category rows. The total of those three net-sales values is =SUM(E2:E4).
Step 4 – Ask for observations tied to the data
Use a prompt that defines the task and limits the conclusions:
Analyse the supplied sales table using the definitions provided. Check gross sales, discounts, refunds and net sales. Identify the category with the highest net sales and calculate its share of the total. Show the calculation used for each numerical finding. Separate observations from possible explanations. Do not infer profit, customer satisfaction or future growth from information that is absent. List the additional data needed to investigate the findings.
If the assistant cannot open the file, provide a small approved table as text or use a supported import method. Confirm that it received all relevant rows before relying on the result.
Step 5 – Verify the arithmetic independently
Check totals with spreadsheet formulas or a calculator. In this example, total net sales are ₦255,000. Training contributes ₦100,000, or approximately 39.2% of that total. These values should match the assistant’s explanation.
Check whether the analysis included the total row as another sale. That mistake would double-count the figures. Also look for filters, missing rows and mixed currencies before deciding that a difference is an AI calculation error.
Step 6 – Ask better follow up questions
Training generated the most net sales in the example, but it may also require more delivery time or external costs. Printing has the lowest net sales, but that alone does not show it should be discontinued.
Useful next questions include the cost of delivering each category, hours worked, repeat purchases and whether the period included unusual events. Ask the assistant to identify which conclusions require those extra fields rather than filling the gaps with plausible stories.
Step 7 – Turn one finding into a practical investigation
Choose a small next action. You might review the reasons for training refunds or collect delivery-cost data for each category. Record the owner and the date for checking the result.
Keep the cleaned file, definitions and verified calculations together. This allows another person to understand the analysis and repeat it next month. Start with one question your existing sales records can answer, then improve the data as the business questions become more demanding.
Prepare a sales spreadsheet with AI review in mind
Add a short data dictionary beside the working file. Explain what one row represents, whether values include tax, how refunds are recorded and which currency is used. State whether the file describes orders, invoices, paid sales or cash receipts. Those differences change what a total means.
When checking a sales spreadsheet with AI, reconcile the row count and totals before interpreting trends. Preserve filters and exclusions in the notes. If the assistant identifies an unusual category, inspect the underlying rows before explaining the cause. A useful finding should lead to an investigation the data can support.
For the spreadsheet check, Google Sheets’ SUM documentation explains how to add values or ranges. Use formulas on the source data to verify the assistant’s arithmetic.
Frequently asked questions
Can a sales spreadsheet with AI show which service is most profitable
Only when the data includes the relevant costs and a clear definition of profit. Revenue or net sales alone cannot establish profitability. Ask for the missing cost fields and check how shared expenses are allocated before comparing the commercial contribution of categories.
Should I upload customer names and payment details
Use only the information required for the question and an account approved for the business data involved. Category-level analysis often does not need names, phone numbers or payment details. Remove unnecessary personal information from the working copy before sharing it.
What if the AI total differs from my spreadsheet
Check the included rows, filters, number formats, duplicate records, currencies and treatment of total rows. Then recalculate independently. Ask the assistant to show its method so you can locate the discrepancy instead of choosing whichever answer looks more plausible.
